RotaCloud
RotaCloud is worth trying first when one manager needs to build the weekly rota and keep staff informed. Its published Standard package includes scheduling tools that a spreadsheet lacks, without requiring you to buy time tracking at the same time. That makes it a useful comparison for a business with payroll already sorted.
RotaCloud Standard starts at £10 a month for 1 to 5 employees. It includes rota templates, staff availability, shift swapping and email or push notifications. Time & Attendance and SMS are optional extras. Its terms say VAT is added. Use the employee calculator for a larger team rather than multiplying the smallest-band price.

Deputy
Deputy is a useful comparison when you want to publish shifts and capture the hours staff actually work. Start by deciding whether basic scheduling is enough. If your rota depends on forecasts or automatic allocation, ask to trial the plan containing those tools, rather than judging the product from its cheapest tier.
Deputy’s UK plans list Lite at £3.25, Core at £4.25 and Pro at £6.50 per user per month, excluding taxes. Lite includes basic rotas, timesheets, clocking and shift swaps. Core adds auto-scheduling and demand forecasting. Monthly plans have a £20 minimum, and managers and administrators count as users.
Use our Deputy review for the wider product. During your trial, make a late timesheet correction and follow it through approval. Check the contract and billing treatment of seasonal staff before committing to an annual plan.
Planday
Planday is worth a demo if your rota needs to feed other business systems. Decide which connection matters first, such as payroll or revenue reporting. Then ask the supplier to show that exact transfer. A long integrations list is less useful than seeing your chosen package produce the file or data your team needs.
The Planday plan comparison lists scheduling, simple time tracking and basic payroll reporting in Starter, with a minimum of five users. Plus adds leave management, payroll integrations and revenue reporting. Pro lists auto-scheduling and custom planning metrics. Confirm the current UK price for your selected plan before budgeting.
Ask whether your existing payroll or till connection needs paid setup, another subscription or a higher tier. Trial a corrected shift after the first export, since that is where duplicate entries can appear. Keep a record of which system owns the approved hours.
Rotaready Evo
Rotaready Evo deserves a look when a hospitality operator needs staffing decisions to reflect expected trade. It has a broader scope than sending out a weekly rota. Bring your operations and payroll leads to the demo so you can judge the planning process and the end-of-week sign-off together.
Its current pricing page lists Pro, Pro + Forecasting and Premium, with a calculator for the selected package. The product comparison covers rota approval, shift swaps, labour calculations and payroll exports. Managed payroll is listed as an extra-cost service. Get the included forecasting, connections and support confirmed in your quote.
Use a quiet service followed by a busy event as the demo scenario. Check how the rota changes and who must approve it. A forecast should help a manager make a decision; ask what happens when bookings or sales differ from the forecast.
Findmyshift
Findmyshift is the clearest free option on this shortlist for a tiny team with a short planning horizon. Its limits are the buying decision. If staff need their shifts several weeks ahead, or managers need older records for queries, the free plan is unlikely to be enough even when the headcount fits.
The free plan allows five team members and one manager. It limits forward planning to one week and historical data to one week. Paid plans use team-based pricing with higher limits. Check the UK currency and chosen billing period before comparing a paid subscription; we have not converted a foreign-currency price into an assumed UK rate.

What does rota software do that a spreadsheet cannot?
Rota software gives staff and managers a shared place to publish shifts, record availability and handle changes. A spreadsheet can still be enough for a stable team with simple hours. The reason to pay is usually the work around the rota: requests, approvals, notifications and keeping payroll informed when plans change.
Separate planned hours from worked hours. A rota says who should be there; an attendance record says what happened. Payroll needs the approved result. If those records live in different systems, agree how they move between them. Our comparison of attendance and HR software explains the boundaries.
Automatic scheduling also needs good inputs. Give the system availability, role requirements and your budget before expecting a useful rota. Ask a supplier to show why it allocated a shift and how you override that choice. A manager should be able to correct the plan without rebuilding the week.
How much should you budget for rota software?
Compare the bill for your real team and required modules. Count managers as well as scheduled staff, include attendance if you need it, and check messaging charges. Team-based subscriptions can change at headcount thresholds. Per-user plans can have minimum charges. Neither model is automatically cheaper for every business.
For a five-user business, Deputy Lite’s rate gives £16.25, but the published monthly minimum makes the base bill £20 before taxes. For 20 users, the same rate gives £65 monthly. These are worked examples using the listed Lite rate, without add-ons; confirm the terms of your quote.
RotaCloud’s entry Standard band is £10 monthly before VAT, but that price excludes its optional attendance tools. It would be misleading to call it half the cost of a complete Deputy setup without comparing the same requirements. Ask each supplier for the first-year total and the renewal basis. Include setup, paid connections and any devices. Also ask how quickly you can remove seasonal users and what happens to their records. A discounted annual plan is less attractive if your staffing falls sharply after the busy season.
Choose a rota app by testing a difficult week
Build a fictional week that includes your usual complications, then ask a manager and a staff member to use the system. Do this in the plan you might buy. The aim is to find manual work hidden behind the feature list, while there is still time to choose another package.

Time the whole job, including corrections. Write down every spreadsheet, message or support request still needed. A supplier demo can make an awkward process look quick because the presenter knows every shortcut. The trial matters most when your own manager has to finish the rota without them.
