Franking machine costs start with the machine, but the contract and postage decide whether it saves you money. Pitney Bowes gives general guidance of around £500 to £1,000 to buy an entry-level machine, or £15 to £100-plus a month to lease. Mailcoms advertises purchase from £395 and leasing from £29.95 a month. These are starting points, not like-for-like quotes.

How much do franking machines cost to rent or buy?

Published prices give you a budget starting point, but they do not define the machine or agreement you will receive. Compare a named model, the same contract length and the same service package. A purchase price with maintenance charged separately cannot be compared directly with a rental that includes repairs.

Pitney Bowes publishes a useful broad range, but a quote is still needed to identify the actual package. Mailcoms provides lower headline purchase pricing, with service plans sold separately for buyers. Neither starting price establishes the cheapest supplier for your workload. What belongs in your monthly franking machine costs?

Build the bill in separate parts: the machine agreement, running charges and postage. This makes omissions easier to spot and stops you counting postage credit twice. Ask each supplier to mark every item as included, charged separately or optional, with the frequency of each charge and its VAT treatment.

A balance added to the meter pays for future mail. A refill charge pays for the funding transaction. Keep both visible, but treat only the fee as an extra operating cost when comparing postage savings. Ask what happens to unused credit when you change supplier or close the account.

Which charges can make a cheap rental expensive?

Look first for postage refill fees, supplies outside the package and service charges that continue alongside the machine payment. Then check renewal and cancellation terms. A low advertised rental is useful only when you know the charges that sit beside it and the circumstances in which the price can change.

Pitney Bowes’ Pay As You Go fee page lists £8.75 plus VAT per meter refill by Direct Debit, or £13 plus VAT by bank transfer. These are charges for that funding arrangement, not a universal fee for every machine contract. Ask whether they apply to your quote and whether another funding option changes the cost.

The same supplier describes packages that include ink, repairs and rate updates. That can simplify budgeting, but the written agreement needs to identify what your package covers. Ask about labels as well as ink, any limits, and the replacement process if the machine fails during a busy mail run.

For an existing machine, collect the latest equipment invoice, service invoice and postage-funding statement. The true monthly cost may be spread across them. Get the current end date and notice deadline before agreeing a replacement, so you do not accidentally pay for two agreements.

Is it cheaper to rent or buy a franking machine?

Buying may suit steady, long-term use when the purchase and support costs are clear. Renting spreads the initial cost and can bundle service, but creates a payment commitment. Compare both over the same period, including the likely cost of keeping a bought machine supported and the terms for returning a rented one.

Here is a contract example, not a supplier offer. Assume rental of £30 a month and £5 a month in other charges, both including any applicable VAT. Over 36 months, rental totals £1,080 and the extras total £180. That is £1,260 before postage, assuming no price changes. Compare a purchase quote plus support and consumables over those same 36 months.

Do not assume you own the equipment after the last lease payment. Ask who owns it, what the end-of-term choices are, whether a renewal starts automatically and what return costs apply. If your mailing is shrinking as customers move online, give the minimum term more weight than a small monthly discount.

A used machine needs a different check. Before paying, confirm with an authorised supplier that the exact model can be licensed, supported and connected for your intended services. Ask about transfer, setup and inspection costs. A low auction price tells you little about the cost of putting the machine into use.

How much does franking save per letter?

The postage saving depends on the service, size and weight of the item. At the basic Mailmark rates below, standard letters save much less than first-class large letters. Use your real mail mix when calculating savings, and deduct machine and running costs before treating the difference as money saved.

When does a franking machine pay for itself?

A machine covers its cash cost when postage savings exceed the extra cost of owning or renting it. Start with monthly overheads, then divide by the saving on the items you send. For a mixed mailbag, calculate each category separately. Staff time can add value, but measure it separately from cash savings.

Using the hypothetical £35 monthly overhead above, standard letters saving 3p each need about 1,167 items a month to cover that cost. First-class large letters up to 100g saving 44p each need about 80. These thresholds assume no further costs and use only the services shown. They are not universal minimum volumes.

For a mixed example, take 500 first-class standard letters and 100 first-class large letters up to 100g in one month. Stamps cost £1,230. Mailmark postage costs £1,171, a £59 difference. Subtract £35 of machine and other charges and the monthly saving is £24. No VAT recovery or labour saving is assumed.

What should you check before requesting quotes?

Give every supplier the same brief: your current setup, business type, monthly postage spend, mail mix and required start date. Ask for a complete written price against that brief. If one quote costs more, establish whether you are paying for useful capacity or for a package your organisation will not use.

  • Say whether you already have a machine, its model and the current agreement end date.
  • Describe your organisation and who will sign the agreement.
  • Give monthly spend and item counts split by letters, large letters and parcels.
  • Explain busy periods and whether you need automatic feeding or department reporting.
  • State the required installation date and ask what must happen before you can post.
  • Request the full term cost, VAT basis, inclusions, exclusions and notice requirements.
